The Protective Services Coordinator is a key contributor within the Protective Services Department. The incumbent is tasked with ensuring a streamlined and coordinated workflow and effective collaboration across the team. The Protective Services Coordinator is responsible for the meticulous organization of documents, coordination of events and upholding of membership records. They serve as a frontline communicator and are adept at managing sensitive information with professionalism. In addition to facilitating seamless administrative operations, the Protective Services Coordinator plays a crucial role in project management and compliance with organizational guidelines and the Accessibility for Ontarians with Disabilities Act (AODA) standards.

Responsibilities
In addition to the responsibilities described below, the Protective Services Coordinator will complete other duties as assigned by the director to ensure the successful operations of the department.

Department Administrative Support

  • Foster collaboration with other departments, Members and partners to coordinate Register articles and request General Assembly materials and annual report documents.
  • Coordinate the review cycle for tip sheets and maintain an up-to-date list.
  • Support departmental goals by coordinating resources, organizing and participating in team meetings, preparing agendas and taking minutes.
  • Assist with drafting and proofreading internal and external communication for clarity and accuracy, including drafting reports, memos and official documentation.
  • Act as the first point of contact for external partners.
  • Maintain the Protective Services Team (PST) resources map.
  • Maintain and update the PST calendar.
  • Create and maintain PST webpages.
  • Maintain a PST Register articles tracker.
  • Monitor PST team task completion.
  • Coordinate, prepare and track PST blurbs for President’s message.
  • Maintain the land acknowledgement roster.

Administrative Support for Protective Services Consultants

  • Ensure milestones are met by planning, tracking and reporting progress; implement operational processes and improvements.
  • Create ethics walls, as needed.
  • Maintain confidential filing systems, reports and records.
  • Prepare, format and edit documents using the OPC Style Guide, as requested.
  • Assist team members with conference registrations.
  • Coordinate district virtual calls, including inviting the Operational Leadership Team, the President and others as appropriate.
  • Prepare agendas, take minutes, share summary with the executive director and track follow up items, as needed.
  • Assist interdepartmental coordination by distributing updates, acting as a point of contact to resolve issues and clarify tasks, and referencing schedules and meetings.
  • Maintain a tracker of investigators.

Support for Director of Protective Services

  • Coordinate meetings, including PST staff performance review meetings.
  • Coordinate the vacation calendar scheduling.
  • Authorize regular Intake Officers’ payroll reports in consultation with the Director of PST, ensuring that any anomalies are discussed and approved by the director.

Terms and Conditions Support

  • Maintain Terms and Conditions (T&C) files in Teams, share communications, update local T&C representative lists, assist with the T&C bulletin creation and coordination.
  • Coordinate T&C tip sheets in collaboration with the Legal and Communications teams and coordinate Information Technology support. 
  • Assist with T&C accounting by processing Terms and Conditions Support Consultant (TCSC) invoices and maintain records of expenses in alignment with contract, process and track T&C representative event expense forms and receipts. 
  • Organize meetings, track and follow up on T&C representative confidentiality forms, manage logistics, prepare agendas, take minutes and track follow up items as needed. 

Event Planning for Protective Services Team Offsite Meetings

  • Assist in the planning, coordination, and execution of events, conferences and offsite meetings, by managing venue selection, contract negotiations and vendor relationships, while liaising with a network of preferred external partners to secure necessary services (i.e., audio visual, staging, technical support, catering, accommodations and other logistical requirements).
  • Support workshop coordination with OPC representatives and other departments, including preparing proposals, cost breakdowns and evaluations, formatting presentation materials based on OPC guidelines and AODA standards and maintaining presentations tracker and folder.
  • Provide on-site event support, troubleshoot issues and ensure all events comply with health and safety regulations (i.e., accessibility standards and AODA compliance).
  • Gather feedback and assist in post-event reporting and follow-up, including the monitoring and management of event budgets for expense tracking.

Human Resources Support

  • Assist with human resources processes, as needed, and in collaboration with Employee and Membership Services and the Director of PST.
  • Plan PST specific staff onboarding and offboarding.
  • Assist with the retention process for PST independent contractors, including scheduling and preparing for meetings, orientation, interview process and packages.
  • Prepare independent contractor retention documents and submit to the Director of PST prior to sending them to independent contractors.
  • Maintain a list of independent contractors.
  • Ensure timely renewal of independent contractor agreements, as needed.

Other Duties

  • Participate in OPC staff meetings and events.
  • Participate in OPC committees in consultation with the Director of PST.
Qualifications
  • Post-secondary degree from a recognized college or university with a preference for degrees in Business Administration, Legal Studies, or a related field
  • At least three years of experience in an administrative support role, with a background in legal or case management environments preferred
  • Proficiency in Microsoft 365 with the ability to format presentations and documents in compliance with organizational and AODA guidelines
  • Excellent verbal and written communication skills, including experience preparing professional correspondence and the ability to draft web content
  • Demonstrated ability to organize and prioritize work, manage multiple projects simultaneously and keep track of deadlines and follow-up items
  • Must demonstrate strong attention to details, particularly in document preparation, meeting organization and record-keeping
  • Strong team player with the ability to collaborate with various departments, Members and partners
  • Experience in coordinating events
  • Adept at problem-solving and decision-making with minimal supervision
Working Conditions
  • Salary range: $65,461-$80,009
  • Hybrid work model (up to 60% remote)
  • Occasional work outside regular office hours may be required
  • Other terms as outlined in the OPC’s policies and employment contract
